Document Controller

Key Responsibilities

• Manage and maintain all incoming and outgoing project documents, drawings, correspondence, and records.
• Ensure proper document numbering, version control, filing, and distribution as per project protocols.
• Maintain document management systems and trackers for engineering, procurement, construction, and client documentation.
• Coordinate with internal teams, consultants, contractors, and clients for timely submission and retrieval of documents.
• Monitor document workflows and ensure approvals/reviews are completed within timelines.
• Prepare and maintain transmittals, MOMs, reports, and project records.
• Archive project documentation in line with company and client requirements.
• Ensure confidentiality and security of all project documentation.
• Support project teams during audits, inspections, and handover processes.
• Track revisions and maintain updated master document registers.
• Assist in preparation of weekly/monthly document status reports.

Requirements

• Bachelor’s degree / Diploma in any discipline.
• 3–8 years of experience as a Document Controller in construction, MEP, infrastructure, real estate, or data centre projects.
• Experience working with project management consultants (PMC), contractors, or consultancy firms preferred.
• Proficiency in MS Office, Excel, and document management systems such as Aconex, Procore, EDMS, SharePoint, etc.
• Strong understanding of document control procedures and project documentation standards.
• Good communication and coordination skills.
• Ability to work in a fast-paced project environment.
