  • About this opportunity

    As a member of our team in Milan, you will ensure the smooth running of our office operations, supporting administrative, HR, marketing, and compliance functions.

    Responsibilities include but are not limited to:

    • Overseeing day-to-day office operations, ensuring a professional and efficient working environment for the Milan team.
    • Providing assistance in preparation of proposals and presentations for client bids and internal initiatives, ensuring materials align with Gleeds’ branding and quality standards.
    • Managing the issuance and record of invoices for Gleeds and coordinating with suppliers for their invoicing processes, ensuring accuracy and timely submission.
    • Assisting with HR duties, including onboarding, facilitating communication with the HR team, managing lunch tickets, and supporting timesheet and expense submissions.
    • Acting as a point of contact for payroll consultant communications to ensure seamless payroll processing.
    • Organising travel bookings and itineraries for team members, ensuring cost-effectiveness and compliance with company policies.
    • Participating in the organisation of meetings and events.
    • Managing meeting bookings and catering.
    • Supporting the maintenance of ISO standards by assisting with documentation, audits, and process adherence as required.
    • Other task assignments as needed and instructed by the country manager.

  • Who we’re looking for:

    Experience, Knowledge and Key Skills

    • Previous experience in office management or administrative assistant function.
    • Strong organisational and multitasking skills, with the ability to prioritise workloads in a fast-paced environment.
    • Excellent interpersonal skills to collaborate with diverse teams and external partners.
    • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) for administrative and presentation tasks.
    • Fluency in English and Italian (both written and spoken) to effectively communicate with internal teams and external stakeholders.
    • Eligible to work in Italy.
